Bookkeeper - Office Manager position available

The Chicago Audubon Society is hiring!

This is a temporary part-time position (approximately 7 hours a week) for a Bookkeeper/ Office Manager. This person will work with the CAS Treasurer, President and Program and Communications Manager.  They will perform general office duties, provide support to the officers of our small organization, and support sales.

Overview: 

Founded in 1972, Chicago Audubon Society (CAS) is a chapter affiliated with the National Audubon Society that serves Chicago and most of Cook County. CAS is dedicated to protecting birds and other wildlife and the habitat that supports them. CAS connects people with birds and nature through field trips, educational programming, advocacy, stewardship and research. CAS collaborates with other local birding and environmental groups to help achieve common goals. Our activities are conducted by our volunteer board and members, other volunteers and our one other staff member.

The CAS mantle includes the Chicago Bird Collision Monitors, whose 100+ volunteers each year rescue thousands of birds injured in collisions with windows in the city and suburbs.

Position Summary: 

This position is based at the Chicago Audubon Society office in Chicago and will report to the President of the Society and the CAS Board. 

The Part-time Bookkeeper/ Office Manager will work with CAS Treasurer and President (volunteers) and Program and Communications Manager (staff).  They will perform general office duties, provide support to the CAS officers, and support sales. 

Essential Functions: 

  • Retrieve and route mail

  • Record checks and make deposits

  • Record financial transactions, maintain financial records, and fact check financial data. Ensure entries are current and accurate. 

  • Assist with fundraising and development activities, including supporting fundraising events (bird seed sale, native plant sale). 

  • Maintain accurate donor records. 

  • Revise the office filing system.

  • Work regularly and closely with staff, board members and volunteers. 

  • Maintain basic office administration functions. 

  • Perform activities related to the accounts payable function including reviewing, coding, and processing payments

  • Perform accounts receivable functions including invoicing, deposits, collections, and revenue recognition

  • Apply accounting policies, rules, and regulations to all work in order to ensure compliance with applicable standards

  • Mail member perks and sales items

Qualifications and Experience 

Required

  • Bachelor’s degree or commensurate work experience

  • Experience with accounts payable, accounts receivable, and general ledger

  • Knowledge and understanding of GAAP

  • Exemplify the CAS ethic: Problem-solving, collaborative, science-based, welcoming, inclusive, and enthusiastic about learning and teaching about birds and nature. 

  • Good organization, time management, attention to detail, high degree of accuracy and ability to multi-task. 

  • Ability to get along with a variety of people, problem solve 

  • Candidate must be a self-motivated, independent, progress-driven individual who can make decisions in accordance with established policies and procedures. 

  • Must be able to effectively operate and utilize a computer, printer, telephone, and related software and apps (including Microsoft Suite). 

  • Proficient skills in QuickBooks and Microsoft Excel

  • Occasional work on weekends, holidays, and evenings may be necessary. 

Desired

  • Minimum of three years’ relevant experience as a bookkeeper, preferably in a non-profit setting, is preferred. 

  • Experience working with donors, board members, and fundraising processes a plus. 

  • Commitment to conservation and the mission of the Chicago Audubon Society a plus.
